Glossary of terms

Accountability

Ability to explain and take responsibility for ones actions and obligations.

Classification plan

A logical and systematic arrangement of files into categories, based on definite relationships between them, using numbers and/or letters for identification. They are usually hierarchical.

Context

Relates to the environment in which the record was created, for example where, when, why and by whom the record was created.

Dublin Core Metadata Element Set (or Dublin Core, for short)

A set of 13 core metadata elements, drawn up in 1995:-

Subject: The topic addressed by the work

Title: The name of the object

Author: The person(s) primarily responsible for the intellectual content of the object

Publisher: The agent or agency responsible for making the object available

OtherAgent: The person(s), such as editors and transcribers, who have made other significant intellectual contributions to the work

Date: The date of publication

ObjectType: The genre of the object, such as novel, poem, or dictionary

Form: The physical manifestation of the object, such as Postscript file or Windows executable file

Identifier: String or number used to uniquely identify the object

Relation: Relationship to other objects

Source: Objects, either print or electronic, from which this object is derived, if applicable

Language: Language of the intellectual content

Coverage: The spatial locations and temporal durations characteristic of the object

Metadata

Data describing stored data; that is, information describing the structure, context, and other characteristics of electronic records.

Migration

The process of converting electronically held information from one format (hardware or software) to another.

Open Archives initiative (OAi)

An initiative to promote the interoperability of e-print archives and develop an open scholarly publication framework. Developed at convention in Santa Fe in October 1999.

Provenance

The origin or source, and history of ownership, of an item. This is one of the most important pieces of information to provide when describing and cataloguing archives.

The activity of creating, maintaining, and managing...

Retention or disposal

The process of keeping or discarding records.

Retention schedule

A list of types of records in an organisation with guidance on how long each should be kept. This is a tool for efficient retention and disposal of records.

Structure

The internal format and arrangement of the document.

Unique identifier

A metadata field that allows unique identification of an electronic record (usually a unique reference number)

Version control

An organised way to keep track of the successive changes to a document.
